Why this is priced as a day
An event does not happen twice
Every other range we sell can be refilmed if it misses. This one cannot, and that is what you are paying for.
- 1Presence, not a clip count
Compared on a Reel count this looks expensive next to a video package. Compared on what happens if nobody is there, it does not. The room empties, the speakers leave, and there is no second attempt.
- 2Live, not filmed and sent
Stories go out while the room is full. Most suppliers leave with a memory card and send files the following week, by which point the people deciding whether to attend next year have moved on.
- 3One person, brief to edit
Velena films it and edits it. There is no runner handing cards to an editor who was not there and did not see which moment mattered.

We work globally. The supplement is set out here rather than added at invoice, and one supplement covers the whole booking rather than each day.

One supplement per booking, not per day. Shorter notice on a European booking can raise the airfare, and we tell you before you commit rather than after.

- On the dayWe arrive at the agreed time, film to the brief and post Stories as the event runs. Your team runs the event.
- ReceiveReels, film and stills arrive by shared Google Drive within 5 working days of the event date.
Before you order
The terms, in plain English
The full terms and conditions govern every order. These five change what you do next.
- The date is the productAn event booking holds a specific day in the diary that cannot then be sold to anyone else. Confirmed dates are confirmed, and what happens if a date moves is set out in Section 7.
- We are an advertising agency, not an event supplierVelena Lifestyle is SIC 73110. We film and edit content. We do not run the event, manage the venue, provide insurance for your attendees or take responsibility for anything outside the footage. Section 2.1.
- Permissions are yoursYou are responsible for the venue permitting filming and for telling attendees that content is being captured. We will not film anyone who declines.
- Some categories we decline outrightGambling, adult, cryptoasset, political, tobacco and vaping, weapons and prescription medicines. Tell us at enquiry rather than after paying. Section 6.
- What the licence does not allowNo resale or sub licensing to another brand, a sponsor or an exhibitor, no separating Velena's image from the delivered content, and no using the content to train an AI model. Those restrictions outlast the licence. Section 11.
Bespoke
A conference season, or an event nobody has done before?
Some event briefs do not fit a package: a multi city tour, two rooms filmed at once, a season of events on a retainer, or a launch that needs content live in two languages. When that is the shape of it we scope the work rather than pushing you into the nearest tier.
Quotes are prepared individually. Send us the shape of the problem and we come back with scope, timings and a fixed figure, usually within one business day.

Before you book
Not as a paid booking, and we would rather say that here than imply otherwise. What we have done for three years is arrive at a venue we do not know, work to a brief under time pressure and deliver, for hotels in the UK and Italy and for London venues including No Escape London and Purgatory Bar on a three year retainer. Event coverage is that same discipline against a clock.
Match it to your running order rather than to a budget. Half a day of programme is Social Reel. A full agenda in one day is Full Day, which adds the highlight film. Two days is Multi-Day, which costs less than booking Full Day twice and produces one film rather than two halves.
Stills shot on phone alongside the video and edited for social, 12 at the half day tier rising to 50 across two days. They are social stills rather than event photography: if you need a photographer's coverage for press and print, book one, and we will work alongside them.
Yes, on all three packages. Organic use on your own channels plus paid media rights for 12 months from delivery. What is never included, at any tier, is resale or sub licensing the content to another brand, a sponsor or an exhibitor. If a sponsor wants their own rights, agree it with us before the day rather than after.
Yes, worldwide. Travel is included within 90 minutes of High Wycombe, Buckinghamshire, £180 for the rest of the UK and Ireland, and £450 for Europe on at least 21 days notice. Anywhere else is quoted and confirmed in writing before you pay. One supplement covers the booking rather than each day.
No. One creator is in one place at a time. If your agenda runs parallel sessions, tell us which room matters and we will be in it. If both genuinely need covering, that is a scoped booking with a second creator rather than a package, and we will quote it before you commit.
5 working days from the event date on every package. The Stories are the exception: those go out live during the event rather than afterwards, which is the part most suppliers do not do at all.
Ongoing monthly content is social media management, a separate service running rolling monthly on 2 months notice. Organisations that run several events a year often book coverage for the events and management for the channel between them.

How to brief event coverage
Send the running order, not the budget
The single most useful thing in an event brief is the schedule with three moments marked as the ones that matter. Everything else follows from it: which package fits, when the day starts, where a creator needs to be standing at four in the afternoon. Briefs that lead with a budget produce a package recommendation that fits the money rather than the event.
Decide who the content is for before the day
Content aimed at people in the room is different from content aimed at people who did not come. Recap Reels sell next year's tickets. Live Stories reach the ones who nearly booked. Sponsor facing footage needs the branding visible in shots that would otherwise avoid it. Pick one as the priority and the coverage gets sharper.
Tell us what would count as a failure
Usually it is one specific thing: the keynote missed, the sponsor wall never in frame, the room looking empty at the start. Naming it in the brief is the most effective thing a client can do, and it costs nothing.
